# Accessories

> Track keyboards, mice, phone chargers, and other peripheral items with quantity-based inventory management

## Overview

Accessories are small peripheral items that you track by quantity rather than individual serial numbers. Think keyboards, mice, phone chargers, dongles, webcams, and similar items where you manage inventory in bulk.

## Key Characteristics

## Creating Accessories

## Checkout Process

### Checking Out to Users

1. Navigate to the accessory
2. Click "Check Out"
3. Select the user
4. Specify quantity (defaults to 1)
5. Add optional note
6. Confirm checkout

  Each checkout reduces the available quantity. Total remaining = Total quantity - Sum of all checkouts.

### Checking Out to Assets

Accessories can be assigned to assets:

* Useful for bundled items (e.g., laptop charger with laptop)
* Tracks accessories per asset
* Links to asset's assigned user
* Shows in asset detail view

## Check-In Process

When checking in accessories:

1. Find the checkout record
2. Click "Check In"
3. Quantity is returned to available pool
4. Checkout history is preserved in audit log

  You cannot check in partial quantities from a single checkout - must check in the full amount.

## Inventory Management

### Available Quantity

View real-time availability:

* Total purchased/on hand
* Currently checked out
* Remaining available
* Percentage utilized

### Minimum Quantity Alerts

Set a minimum threshold:

* Receive alerts when quantity drops below minimum
* Plan reorder points
* Prevent stockouts
* Email notifications (if configured)

## Requestable Accessories

Enable user self-service:

Custom fields are configured at the category level.

## Bulk Operations

### Adding Inventory

When receiving new accessories:

1. Edit the accessory
2. Increase the quantity
3. Update purchase information if needed
4. Change logged in audit trail

### Removing Inventory

For lost, damaged, or disposed accessories:

1. Edit the accessory
2. Decrease the quantity
3. Add note explaining reduction
4. Cannot reduce below checked-out amount

## Reporting

Generate reports on:

* Company-specific reporting
* Separate inventory pools

## Cost Tracking

### Total Cost Calculation

### Financial Reporting

Add images to accessories:

* Upload product photo
* Shows in listings and detail view
* Helps users identify correct item
* Inherits category image if none set

## Best Practices

3. Both items tracked together
4. Both returned when user leaves

### Spare Parts Pool

1. Maintain quantity of common items
2. Set minimum quantities
3. Reorder when low
4. Check out for temporary/replacement use

## Limitations

  Accessories are designed for quantity tracking. If you need to track items individually with serial numbers, use Assets instead.
</Warning>

Accessories cannot:

* Have individual serial numbers
* Be depreciated
* Have warranty tracking per unit
* Support checkout to locations (only users/assets)
* Have individual maintenance records
